This policy describes the use of your information by DLAP Entertainment.

It explains the ways in which we will protect your personal information and it details your rights.

DLAP Ltd is a controller of data, we therefore will demonstrate the highest level of compliance responsibility.


What Information do we collect and use?

  • We hold various types of information for different purposes to provide and maintain our services. This includes personal data.
  • Whilst you use our company’s services, we may ask for personal information to identify you or contact you.
  • We will be clear, open and honest with you from the offset about how we will use your personal data.
  • We only use information for the purpose of legitimate interests being pursued by us in relation to the services we provide.
  • We collect information if you contact us by email or via our website with queries/complaints etc. If you contact us, we retain the records of that correspondence in an email inbox.
  • For our productions it is essential that we collect personal data from you. It is also required that we collected a small amount of sensitive personal information. This includes a declaration of health.
  • All information held will come directly from you.


How and why do we use your personal information?

  • We decide to collect, and process only essential personal data and we do so to perform our company’s functions.
  • We have reviewed the purposes of our processing activities and selected the most appropriate lawful basis for these activities.
  • DLAP Ltd lawful basis for processing data is contract. Meaning the processing is necessary for a contract we have with you.
  • Therefore, we process personal data as a result of a contract between us and you, the data subject. Data subjects are our employees and we have a direct relationship with them.
  • We have complete autonomy as to how your personal data is processed.
  • We have checked that this data processing is necessary for our company to function and are satisfied that there is no other reasonable and less-intrusive way to achieve that purpose.
  • Our retention period for your personal data is in most cases for as long as you are in contract with us. We will securely erase or anonymise your information once it is no longer needed.


Who do we share your information with?

Your information will be shared internally between DLAP staff, they will only use it to carry out their duties in line with the purposes of the company.

We will need to share your personal information in the following cases:

  • The company manager of any production requires access to personal information to process payroll and maintain essential contact with employees throughout the run
  • To gain professional advice from accountants or lawyers where they require that information in order to provide the advice
  • When equity require it from us


Where is your information stored?

We store all personal information that you provide us with on a secure online server (Dropbox) and this is only accessible predominantly to DLAP staff and occasionally to production company managers, lawyers and accountants only when required.

The security of your data is hugely important to us, but please note that no electronic storage can be 100% consistently secure and we therefore cannot guarantee its absolute security.


Your rights

You have the following rights in relation to the personal information we hold about you:


The right to be informed

You have the right to be informed about the collection and use of your personal data. The purpose for processing it, the retention period and who it will be shared with.


The right of access

You have the right to be aware of and verify the lawfulness of the processing we are carrying out. We must provide a copy of the information if requested by you and this will be without delay and free of charge.

You are entitled to the following:

  • Our purpose for processing and the legal basis for which we collect it
  • Categories of personal data we are processing;
  • Recipients or categories of recipients we are disclosing the personal data to (including recipients or categories of recipients in third countries or international organisations);
  • Our retention period and our criteria for determining this period
  • A right to request rectification, erasure or restriction;
  • The ability to raise a complaint with the Information Commissioner and the ICO’s contact details
  • The personal data we are processing (in writing) and any available information we have about the origin of the data.


The right to rectification

We must rectify any inaccurate personal data when it becomes apparent or if you request it of us. If the personal data we hold is incomplete or inaccurate we will seek to amend this.

You may make a request for rectification of your personal data we hold verbally or in writing. We will take the time to ensure we have understood what you have requested of us and action this immediately.

If we refuse a request for rectification you can raise a complaint with the Information Commissioner.


The right to erasure

You have the right to request deletion or removal of your personal data when you believe there is no compelling reason for us to continue its processing.


The right to restrict

You are permitted to restrict the processing of your personal data, meaning you allow it to be stored but you limit the processing of it in the future.


The right not to be subject to automated decision-making

You have the right not to be subject to a decision when it is based on automated processing. You are entitled to express your point of view, obtain human intervention and obtain an explanation of the decision.
